Among many things you can do to help yourself and your interactions with clients and partners is to create a solid mailing system. One that suits your field, your flow and your clients.

First, you need to categorize your ongoing communications into specific types. These can be: deliverable submissions, notifications, task completion, milestone reports, billing and invoicing etc. Just keep it simple and inclusive, creating too many categories would feel like no categorization after all.

After you do that, you can start signifying your emails with a category label on the subject line, together with the task/project title. This will result in a simplification and automation of the emailing process for you, saving you time and effort. Also, it will create discussion threads that belong to a single topic, which makes discussion content, decision points and relative information easily traceable, now and in the future.

In addition, it will result into the ‘training’ of your clients and professional partners. Training here means that -by categorizing and iterating- you are making it easy for everyone to remember what is what, what goes where, what came previously and what comes next, so that they don’t have to re-learn something new every time you interact with them. Remember that your clients are real people, most likely busy people, with heavy daily schedules and a lot of things taking place into their minds.
